Executive Assistant & Operations Coordinator
We are seeking a proactive, highly organized, and trustworthy Executive Assistant & Operations Coordinator to support the CEO of a growing business in day-to-day administrative tasks, HR operations, and special projects. This role also includes light personal assistance to ensure smooth functioning across business and life domains.
The ideal candidate is detail-oriented, excellent with follow-through, and comfortable wearing multiple hats.
📍Location: Hybrid (Columbia, SC)
Key Responsibilities
Business Administration & Operations
Manage HR processes including onboarding, offboarding, and documentation
Draft, send, and track contracts for employees, clients, and vendors
Support payroll coordination and ensure timely employee payments
Maintain digital and hard copy filing systems for business and personnel documents
Manage recurring operational tasks such as compliance updates, insurance, renewals, and licenses
Prepare draft client invoices and track expenditures
Partner with CEO on legal compliance
Executive Support
Make travel arrangements for CEO
Order supplies or coordinate errands as requested
Track receipts, categorize expenses, and prepare documentation for accounting/bookkeeping
Special Projects
Research vendors, service providers, or partners for business needs
Assist with preparation for client meetings, presentations, or pitches
Support internal process improvement and organization (e.g., creating Standard Operating Procedures)
Project manage one-off initiatives from start to finish with minimal oversight
Qualifications & Requirements
At least two years of industry experience in accounting and / or financial administration
Highly dependable and discreet, with strong integrity and confidentiality
Strong written and verbal communication skills
Comfortable using digital tools (e.g., Google Workspace, Gusto, Dropbox, Adobe Pro)
Self-starter with strong time management skills
Experience in small business or startup environments preferred
Comfortable working in a fast-paced environment
Additional Details
This is a 1099 independent contractor role to start, with potential to grow in scope over time
Hours can be flexibly scheduled, but availability during some business hours is preferred
Preference for candidates local to Columbia, SC for occasional in-person meetings
Compensation and Work Schedule
Schedule: Part-time (10–20 hours/week, flexible)
Compensation: $25–$30/hour depending on experience
