Executive Assistant & Operations Coordinator

We are seeking a proactive, highly organized, and trustworthy Executive Assistant & Operations Coordinator to support the CEO of a growing business in day-to-day administrative tasks, HR operations, and special projects. This role also includes light personal assistance to ensure smooth functioning across business and life domains.

The ideal candidate is detail-oriented, excellent with follow-through, and comfortable wearing multiple hats.

📍Location: Hybrid (Columbia, SC)

Key Responsibilities

Business Administration & Operations

  • Manage HR processes including onboarding, offboarding, and documentation

  • Draft, send, and track contracts for employees, clients, and vendors

  • Support payroll coordination and ensure timely employee payments

  • Maintain digital and hard copy filing systems for business and personnel documents

  • Manage recurring operational tasks such as compliance updates, insurance, renewals, and licenses

  • Prepare draft client invoices and track expenditures

  • Partner with CEO on legal compliance

Executive Support

  • Make travel arrangements for CEO

  • Order supplies or coordinate errands as requested

  • Track receipts, categorize expenses, and prepare documentation for accounting/bookkeeping

Special Projects

  • Research vendors, service providers, or partners for business needs

  • Assist with preparation for client meetings, presentations, or pitches

  • Support internal process improvement and organization (e.g., creating Standard Operating Procedures)

  • Project manage one-off initiatives from start to finish with minimal oversight

Qualifications & Requirements

  • At least two years of industry experience in accounting and / or financial administration

  • Highly dependable and discreet, with strong integrity and confidentiality

  • Strong written and verbal communication skills

  • Comfortable using digital tools (e.g., Google Workspace, Gusto, Dropbox, Adobe Pro)

  • Self-starter with strong time management skills

  • Experience in small business or startup environments preferred

  • Comfortable working in a fast-paced environment

Additional Details

  • This is a 1099 independent contractor role to start, with potential to grow in scope over time

  • Hours can be flexibly scheduled, but availability during some business hours is preferred

  • Preference for candidates local to Columbia, SC for occasional in-person meetings 

Compensation and Work Schedule 

  • Schedule: Part-time (10–20 hours/week, flexible)

  • Compensation: $25–$30/hour depending on experience
